Why Reporting Tour Outcomes Are So Important
First of all, it's crucial that you know why you're reporting the outcomes of your tours.
1. It's extremely important that you have an organized sales pipeline so that you know everyone that has toured the venue, what their objections were, and which people came back and completed their booking.
2. Our system is going to nurture your indecisive visitors and follow up with them to get them to come back and complete their booking at the venue.
How To Report the Outcome of a Tour
Approximately 1 hour after the tour, the contact will be moved into the "Awaiting Tour Outcome" stage in your sales pipeline, and you will receive an email to report the outcome of the tour titled "(Name) Tour Outcome"
The email that you receive approximately 1 hour after the tour will look exactly like this:

Keep in mind that if you have a tour scheduled for 12 PM, you will receive this email to report the outcome of the tour at 1 PM.
Once you open the form, you will see where you select to report the outcome of the tour.
You will also have the option to enter notes about the contact. THE NOTES ARE INCREDIBLY IMPORTANT! If you don't take notes, your Did Not Book stage is going to just be a bunch of names, and you won't have a clue about who any of them are. Take detailed notes so that you know who came and visited the venue, who came with them, where they were from, which venues they were looking at, what their interest level was, and what their objections were.
At this point, all you have to do is select the outcome of the tour and then click submit.
If they booked on-site during your tour, enter the booking value of the contract, then book their wedding date in the bookings calendar. Then click submit. For more on how to report a booking, CLICK HERE.
Quick Tips:
1. It's important that you wait 5-10 minutes after the couple leaves and then report the outcome of the tour.
2. REPORT THE OUTCOME EVERY TOUR on the day that they toured. (you should never see anybody in your "Awaiting Tour Outcome Stage" in your pipeline. If anyone is in that stage, that means you did not report the tour outcome.)
3. Even if someone tells you that they're are going to sign the contract as soon as they get home, it's important that you report them as Did Not Book. Once they actually sign the contract or put down the deposit, then you can go and fill out the "New Booking" tab in your left menu, and report them as booked.
